What the Tadpoles free plan covers

Tadpoles built its reputation on making daily communication between providers and families easy. The free plan delivers on that: digital daily reports with photos, activity observations, feeding and nap logs, and parent app access.

For a small program whose primary challenge is keeping parents informed, the free plan works. Home daycare providers and small preschools that run on family referrals get real value from a platform parents open every day.

The interface is clean. Setup is fast. Parents like receiving photos and updates without having to email the provider to find out how their child’s day went.

What the premium plan adds

Tadpoles premium adds improvements on top of the communication layer: enhanced observation tools, unlimited photo storage so you are not managing space caps, advanced reporting formats for families, and portfolio exports that compile a child’s progress over time.

These are all parent-facing improvements. Premium makes Tadpoles better at the thing it already does.

Premium does not add compliance features. Ratio tracking, subsidy billing, audit documentation — none of these appear in the premium tier because they were not in the product to begin with.

What premium costs

Tadpoles does not publish its premium pricing. Contact information for a quote is available on their website. This means comparison shopping requires an outbound contact step, and pricing may vary.

What is missing at every tier

For licensed childcare programs, the gap is the same whether you are on free or premium.

Ratio tracking. State licensing rules require maintaining staff-to-child ratios continuously throughout the operating day. When a licensing officer arrives and asks for ratio records at a specific time on a specific date, Tadpoles cannot produce them. This is true at both pricing levels.

Subsidy billing. Centers serving CCDF families or DHS voucher holders need to document attendance by child and funding source, generate monthly reimbursement documentation, and reconcile claims against payment. Tadpoles has no subsidy workflow.

Audit-ready records. The reports Tadpoles generates were designed for parents — narrative activity logs, photos, milestone notes. State licensing audits require time-stamped attendance records, ratio documentation, and subsidy billing records. Different audiences, different formats.

Offline access. If your internet connection drops during a licensing inspection, Tadpoles records are unavailable. No offline mode exists at either tier.
